When Should You Hire a Salesforce Administrator?

You do not necessarily need a dedicated Salesforce Administrator. For many businesses, Salesforce can be managed in-house as part of an existing team member’s responsibilities. The question is whether that arrangement still works as your Salesforce setup, users and business processes become more complex.

Salesforce can sit at the centre of your customer data, workflows, automations, reporting and day-to-day processes. But someone still needs to look after it. New users need access, data needs maintaining, automations need checking, and the system may need to change as your business processes change.

That is where managing Salesforce in-house can become difficult. If nobody has enough time or the right expertise to manage it properly, small issues can accumulate and changes can become harder to make safely.

So, when does it make sense to have a dedicated Salesforce Administrator? And when is managing it with your existing team still the better option?

When Managing Salesforce In-House Starts Becoming Difficult

As your business grows, Salesforce usually grows with it. More customers mean more data, while new teams and changing processes can lead to more workflows, automations, reports and integrations.

At some point, managing all of this alongside someone’s existing role can become difficult. It is not necessarily the size of the business that matters, but how much Salesforce is being used and how much ongoing work is required to keep it running properly.

If your Salesforce setup is relatively simple and someone on your team has enough time and knowledge to manage it, there may be no reason to hire a dedicated Administrator. But when Salesforce becomes more complex, more important to daily operations, or increasingly difficult for your existing team to maintain, having someone responsible for it can make more sense.

Here are some examples of the complex issues;

  • Multiple Flows and other automations may have been created over time without being reviewed, making it difficult to understand how they interact or what could be affected when a change is made.
  • Data management is another complex issue, Data coming from different entry points can lead to duplicate, incomplete or inconsistent records. Over time, this can affect reports and dashboards and make it harder for teams to rely on the information in Salesforce.
  • Consider integrations as well. Salesforce may be connected to other systems used by your business. Those integrations might need troubleshooting or ongoing monitoring. More importantly, someone needs to keep track of the updates and changes made to those integrations so they continue to work as expected.

These are just a few examples among many that can make working with Salesforce feel complicated.

What Does a Salesforce Administrator Actually Do for Your Business?

Having a Salesforce certification does not necessarily mean someone will be the right person to manage your Salesforce setup. Certification demonstrates knowledge of the platform, but your business may need someone who can understand how Salesforce has been configured and how your teams actually use it.

An experienced Salesforce Administrator can add value in two important ways.

  • Understand how your current Salesforce setup is being used
    Before making changes, a Salesforce Admin needs to understand what is already there, how different objects and processes are connected, which automations are running, what integrations are involved and where data is being created or updated.

    This gives them a clearer picture of how Salesforce currently supports your business processes and where problems or inefficiencies may be coming from.

  • Identify where Salesforce can work better for your business
    Once they understand the existing setup, they can identify areas that could be improved. That might mean changing a workflow, simplifying a process, improving data management, adjusting automation or making better use of an existing Salesforce feature.

 

The aim is not to change Salesforce simply for the sake of making changes. It is to make sure the platform continues to support the way your business actually works.

Do You Need a Dedicated Salesforce Administrator?

There is no single answer to whether your business needs a dedicated Salesforce Administrator. It depends on how complex your Salesforce setup is, how heavily your team relies on it, and whether someone internally has the time and knowledge to manage it properly.

If your Salesforce setup is relatively simple and your existing team can handle user management, data, reports and routine configuration without it affecting their other responsibilities, you may not need a dedicated Administrator.

However, if Salesforce is supporting multiple teams, relies on automations and integrations, or requires regular changes and maintenance, having someone responsible for it is more important. Depending on your requirements, you could continue managing Salesforce in-house, hire a dedicated Administrator, or work with a Salesforce Consulting Partner for the support and expertise you need. 

Also, if you have regular Salesforce work, hiring a Salesforce Consulting Partner for a set number of hours each month may be a more practical option than hiring a full-time Salesforce Administrator.

This can be useful when your Salesforce requirements are broader than what one Administrator can reasonably handle. Instead of hiring internally for every area of expertise you may need, you can bring in a partner when specific knowledge or additional capacity is required.

A consulting partner can also help you review your existing Salesforce setup and identify opportunities to improve how it supports your business processes. As Salesforce continues to introduce new features and changes to the platform, they can also advise you on whether any of those changes are actually relevant to your business rather than simply recommending them because they are new.

So, the choice is not necessarily between an in-house Salesforce Admin and a consulting partner. It comes down to the level and type of Salesforce support your business needs, and whether that is best provided by one dedicated person, your existing team, or a broader team of specialists.
