How do I set up business email with my domain?

A business email address uses your own domain, such as name@yourbusiness.com, instead of a general email address. Setting one up normally involves choosing an email provider, creating mailboxes and configuring your domain’s DNS records.

1. Choose an email provider

Choose a business email service that meets your requirements for storage, security, users, administration and compatibility with your devices.

Common options include hosted email services from providers such as Google Workspace or Microsoft 365, as well as email services provided by your hosting company.

2. Create your business mailbox

After choosing a provider, create the email address or addresses you need.

For example:

  • hello@yourbusiness.com
  • sales@yourbusiness.com
  • support@yourbusiness.com


Use clear addresses that match how your business handles enquiries.

3. Verify your domain

Your email provider will normally ask you to verify that you control the domain.
This may require adding a specific DNS record to your domain’s DNS settings. Follow the provider’s instructions and do not remove unrelated DNS records.

4. Add the email DNS records

Your provider will give you the DNS records required to deliver email correctly. These commonly include MX records, which tell receiving systems where email for your domain should be delivered.

You may also need additional records for email authentication, such as SPF, DKIM and DMARC, depending on your provider and setup.

Copy the values provided by your email service exactly.

5. Connect your devices

Once the mailbox is active, sign in through the provider’s webmail service or configure the account in your approved email application.

Follow the provider’s current instructions for desktop and mobile setup rather than guessing the server settings.

6. Test sending and receiving

Send test messages to and from another email address.

Check that:

  • Your domain appears correctly in the sender address.
  • Your email application works on the devices you use.
